Part Time Sales & Office Administrator required to join a passionate team of foodies in Little Italy, Importing Italian food and wine since 1976, in the heart of Dublin 7!


Job Summary


The Sales & Office Administrator role forms a vital part of the supply chain process and is responsible for answering phones, order capture, order processing, co-ordination, administration and distribution for Little Italy. You will facilitate the smooth running of the organisation with your strong administration skills, as well as the ability to multi-task and work well under pressure. 


You must be competent at managing customer relations and will ensure that orders are captured and sent for picking in an efficient time-frame while also maintaining a high level of accuracy. You must have a keen eye for detail, be capable of working in a fast-paced environment and to tight deadlines for this role, ensuring that the right products are delivered to the right location on time. You will also be involved in maintaining our e-commerce website.


This job also includes admin duties, dealing with sales and customer queries in person and on the phone, developing new sales and trying to expand our existing customer base.


Responsibilities and Duties


  • Liaising with staff across the company to resolve sales-related queries and/or problems in a timely manner

  • Responding efficiently to customer/supplier queries via telephone and e-mail

  • Processing orders via phone/email/online website

  • Ensure orders are inputted accurately, managed efficiently and processed correctly, report any anomalies and inconsistencies immediately

  • Upsell and cross sell to existing customers and expand customer base

  • Using a variety of software and systems, including Microsoft Word, Outlook, Excel, Adobe, Shopify, Unify, Canva

  • Communicating courteously with customers by telephone, email, letter and face to face

  • Answering and screening phone calls, enquiries and requests and handling them when appropriate

  • Adhoc office administration duties

  • Maintenance of Company Website, ensure content is relevant and up to date on a frequent basis

  • Office is closed: Saturdays/Sundays & Bank Holidays 

  • Approx 20-25 hours Monday to Friday 9am to 5pm (30 minutes break)


Ideal Candidate:


  • Must have minimum 1 year’s office and sales experience in similar job role

  • Languages: Fluent English & Italian is a distinct advantage 

  • Work well as part of a team and own initiative, self-motivated

  • Be organised with excellent attention to detail
